Accounting Specialist/Bookkeeper

Brief Job Description: The Accounting Specialist is responsible for maintaining accurate financial records for the parish and school and cemetery, ensuring proper financial stewardship and accountability in accordance with Catholic Church policies and procedures. This position will involve managing all aspects of parish, school, and cemetery financial operations, including accounts payable/receivable, budgeting, and preparing financial reports for the church, school and cemetery leadership.

Essential Duties & Responsibilities:
• Financial Recordkeeping: Maintain and update financial records for the church, school and cemetery, including daily transactions, income, and expenses.
• Accounts Payable & Receivable: Process invoices, bills, and payments to vendors, suppliers, and contractors. Record incoming donations, tithes, and other income sources, ensuring proper allocation and classification.
• Bank Reconciliation: Reconcile all bank accounts and credit card statements monthly to ensure accuracy.
• Financial Reporting: Prepare monthly, quarterly, and annual parish financial reports for the parish administrator, finance council, and pastor and school financial reports for the school principal and school board. Ensure all financial records are available for audit purposes. Assist in the completion of the annual Diocesan internal audit.
• Budgeting: Assist with the preparation of the annual budget, track spending, and ensure adherence to budgetary limits.
• Donor Management: Maintain detailed records of donations and contributions, ensuring accurate tracking for donor acknowledgment and tax purposes.
• Compliance & Controls: Ensure compliance with diocesan financial policies, IRS regulations, and other legal requirements. Safeguard the church’s assets through proper internal controls and procedures.
• Collaboration: Work closely with church and school office staff, leadership, and volunteers to ensure smooth financial operations and address any financial inquiries or concerns.

Qualifications: Required Education/Experience:
• Education: Associate’s degree in accounting, finance, or a related field preferred. Relevant work experience may be considered in lieu of formal education.
• Experience: Minimum of 2 years of experience in bookkeeping or accounting, preferably in a non-profit or religious organization.

Desired Skills:

• Experience: Minimum of 2 years of experience in bookkeeping or accounting, preferably in a non-profit or religious organization. Experience with PDS/Ledger very helpful.

Working Conditions:
• Hours: Full-time, Monday through Friday, 8:00 am to 4:30 pm
• Location: St Mary of the Assumption Parish
• Hourly Salary Range: $20-$25 per hour based on experience
